WHAT IS OUR PRIVACY POLICY?

At Print Station we realise the importance of preserving the privacy and security of the personal, private and financial information you give to us or allow us to obtain about you. This Privacy Policy describes:

        • how we will protect your personal, private and financial information,
        • what sort of personal, private and financial information we need from you,
        • the reasons why we need your personal, private and financial information,
        • how we will obtain your personal, private and financial information,
        • how we will use your personal, private and financial information, and
        • to whom we will disclose your personal, private and financial information.

HOW DO WE PROTECT AND MAINTAIN YOU PERSONAL AND PRIVATE AND FINANCIAL INFORMATION?

We will use reasonable measures to monitor the manner in which your personal, private and financial information is obtained, used and disclosed and that it is as accurate, comprehensive and as current as reasonably possible. If there are any changes to your personal, private and financial information, inform us as soon as possible so we can update our records.

We will use reasonable measures and current industry standards, processes and procedures to protect the security of your personal, private and financial information. Employees are generally in attendance on our premises 24 hours a day, 7 days per week; access to and on the site is strictly controlled; and all of our IT systems are protected by authenticated access controls.

From time to time, we utilize the services of mailing houses on behalf of our customers to distribute their catalogues. When we deal with these mailing houses we request they observe our privacy policy and that they treat any information we provide in the same manner.

The employees and service providers of Print Station Print Stationare authorised by us to monitor, maintain and use your personal, private and financial information.

WHAT IS YOUR PERSONAL AND FINANCIAL INFORMATION?

The kinds of personal, private and financial information we are allowed to obtain about you and the manner in which we collect, maintain and protect your personal, private and financial information, are governed by Commonwealth and State Privacy legislation.

Personal information includes:

        • your name, address, date of birth and contact details,
        • any information that identifies you or relates to you,
        • information about your finances and credit history,
        • your tax file number and financial information including your income, expenses, debit and credit history,
        • information concerning our products and services you may use.
However, it does not include certain personal information such as:

        • your religious beliefs,
        • your ethnic origin,
        • your political views,
        • any criminal record you may have, or
        • your personal health.
This is unless we require such information to provide you with certain products or services, or engage your services, and you first agree to disclose this information to us.

We will not use your personal, private and financial information, such as certain government generated information (for example, your Tax File Number) in reference to any of our products or services. We will only obtain, use or disclose government generated numbers in circumstances where we are legally obliged to do so.

The scope of your personal, private and financial information may include many records and documents. THE REASONS WE NEED YOUR PERSONAL AND FINANCIAL INFORMATION?

Requests for personal and financial information will only be made where required to provide an efficient and effective service to you as a customer, supplier, or potential customer or supplier, or for social or other promotional events.

We will only obtain the personal, private and financial information we need, to provide you with the products or services you or we have asked for. If you do not agree to give us this personal, private and financial information, we may be unable to provide you with the products or services you have asked for, or we may be unable to engage your services.

HOW DO WE OBTAIN YOUR PERSONAL AND PRIVATE FINANCIAL INFORMATION?

In most circumstances we will ask you directly to supply the personal, private and financial information we need. This may mean we obtain your personal, private and financial information when you fill out our credit application forms, telephone us, through online contact or when you give us information in person.

However, in some cases we may need to obtain personal, private and financial information about you indirectly from other people, bodies or agencies. If we need certain personal, private and financial information about you that relates to products or services you have asked for, or relates to potentially engaging your services, we may need to obtain your personal, private and financial information from sources, including the following:

As with many providers of goods and services, we may also monitor and/or record telephone discussions between you and our staff for training purposes and to check the accuracy of our records.

HOW WILL WE USE YOUR PERSONAL AND FINANCIAL INFORMATION?

Personal and financial information will only be used where required to provide and efficient and effective service to you as a customer, supplier, or potential customer or supplier; to issue product, service or company development information to you as part of that service; or to promote events or invite you to events or activities.

TO WHOM MAY WE GIVE YOUR PERSONAL AND PRIVATE FINANCIAL INFORMATION?

To give you the products or services you have asked for, we may need to give your personal information to another person, body, agency or company. We will only give your personal, private and financial information to another party if you have given us your express or implied consent or, if we are allowed to or required by law to do so. Express consent means when you clearly and unequivocally agree orally or in writing. Implied consent means we are entitled to assume from your words, conduct or other behaviour that you have given consent.

Where possible, we will limit the nature and disclosure of your personal, private and financial information and will only pass it on to persons, parties or companies we use to perform necessary and important services that allow us to operate our business and provide the products and services we offer. These persons, parties or companies may conduct checks, such as your address or credit details, and make other reference checks about the personal, private and financial information you have given to us or we have obtained through your express or implied consent or from permitted sources.

HOW CAN YOU SEE YOUR PERSONAL AND PRIVATE FINANCIAL INFORMATION?

If you wish to see most of the personal, private and financial information we hold about you, you can ask us to show it to you and ask us to make changes where appropriate.

You can request to see your personal, private and financial information by telephoning Print Station. We will usually provide your personal, private and financial information free of charge, unless your request requires us to obtain information that is not readily available, in which case we will tell you the cost of the search and obtain your agreement before we proceed.

In certain circumstances, you may not be able to see certain information we hold about you, including where the information:

would disclose personal, private and financial information about someone else,
would disclose commercially sensitive matters, including our business operations and decision making processes,
is protected from disclosure by law.

WHAT CAN YOU DO IF YOU HAVE A PRIVACY ISSUE?

The manner in which Print Station deals with your personal, private and financial information is governed by the Commonwealth and State Privacy legislation and the National Privacy Principles contained in the Commonwealth Act. We have designed our processes and procedures, policies, operations and systems to meet our obligations under the Privacy legislation.

This Privacy Policy is current as at 1 January 2014. Print Station reserves the right to amend this Privacy Policy at any time.
